As we roll into January 2021 we expect many events and trade shows this year to continue as planned—with some new guidelines and protocols for attendees and event staff. The steps we have taken in the past to attend them may change in the new face of social distancing. We celebrate the fact that we can return to some of our favorite pastimes, and a chance to get out of the house! However we want to give our brand ambassadors a “heads up” on what may change, and some insider tips on how to prepare. This article will highlight some changes we expect for any upcoming events you have on your schedule:

1. Social Distancing - When entering an arena, conference hall, or trade show floor you may notice stickers on the floor to instruct you where to stand. Social distancing, or spacing yourself at least 6 feet from someone else, is something that health experts have suggested. Social distancing helps prevent direct contact with others attending an event. When followed, social distancing is the easiest and most effective way to keep you safe in a large group. Many times this includes wearing a mask while attending an event as well.

 2. Temperature Checks - Often with people entering a place of business, a door monitor will take a forehead temperature check. The great news is these thermometers give an immediate reading of your temperature and are a contactless way to monitor if you are healthy enough to enter. When going into any event there may be a mandatory temperature check station the audience will pass through. Not to worry! It only takes seconds to make sure you are healthy enough, and everyone else around you, to continue in and enjoy the reason you are there!

3. Online Registration- Many events may require online pre-registration. What does this mean? Exactly what the name insinuates! In order to purchase tickets or admission into an event you may be required to fill out a short information questionnaire, have your tickets emailed or mailed to you, and attendances may be limited to a certain “cap” attendance number. Venues may only allow their attendance to be at a certain percentage capacity, and the best news is you’ll know ahead of time if you are able to attend. Will-call ticket offices may be closed, however with pre-registration you’ll have your ticket ready before you even pull out of the driveway.

4. QR Codes - A “Quick Response” code, or more commonly known as a QR code is a type of matrix barcode that contains information about the item to which it is attached. Using your smartphone or tablet, you can open the camera and hover over the QR code. Once the image has focused on your camera the image will take you to a website link. Why does this matter? It’s contactless! If you are in line and need to register for a free gift, a registration to win a prize, or fill out a survey you no longer have to use a community iPad or pad/pen. QR codes simplify the registration process, and eliminate the need to have any communally touched items.

Starting this year we are all excited to welcome back familiar events, and adapt to the “new” normal of attending them. At Backwoods Promotions we encourage everyone planning to attend their next conference, trade show, or event to take their time to read all new guidelines that each venue and event management group sets. You can do this by visiting a trade show’s website days prior to the event.

Please be sure to utilize resources where you live. For our staff in Canada be sure to visit Health Canada, and US staff please visit the CDC official website. State and local guidelines should be reviewed as well, and can be found in your local government websites. The tips we left you with may be included in your trip, but the world is ever evolving and we want to be sure everyone practices health and safety when out and about! Be sure to prepare accordingly to your state and local guidelines—and enjoy the journey along the way!
